Choosing the Right Chart for Your Slide: A Decision Guide
Pick the chart after you decide what you are claiming, not before. The claim determines the shape.
Most bad slide charts come from the opposite sequence: someone has data, produces the default chart their software offers, and then works out what to say about it. The result is a chart the audience has to decode. For distributed creative and development teams, a related operational reference is the full explanation, focused on coordination across locations and time zones.
Start with the sentence
Write the point of the slide as a sentence first. That sentence tells you which family of chart you need.

Then choose within the family.
Comparison
Bar chart, horizontal. The default and usually correct. Horizontal handles long category labels without rotating text, which vertical columns cannot. Practical format guidance is available in the Microsoft PowerPoint support.
Sort by value, not alphabetically, unless the categories have an inherent order. Sorting is the single easiest improvement to most charts — it does the comparison for the reader.
Column chart, vertical. Fine for a small number of categories with short labels, and conventional when the categories are time periods.
Grouped bars. Two or three series compared across categories. Beyond three series it becomes unreadable.
Bullet chart. Actual against target, compactly. Underused and excellent for dashboards and performance slides.
Start the axis at zero. For bar and column charts this is not a stylistic preference — bar length encodes the value, and a truncated axis exaggerates differences. Composition
Stacked bar, single. One bar divided into segments. Better than a pie chart for most purposes: easier to compare segments, handles more categories, fits a slide layout more naturally.
Stacked bars, multiple. Composition compared across categories or over time. Works well up to about four segments.
100% stacked bar. When proportion matters more than absolute size.
Treemap. Hierarchical composition with many categories. Effective for showing that one segment dominates; poor for precise comparison.
Pie chart. Acceptable for two or three segments where one clearly dominates. Beyond that, people cannot compare angles accurately, and the chart becomes decoration with a legend.
Never a donut with a number in the middle unless that number is the point, in which case just show the number at large size and skip the ring.
Trend
Line chart. The standard for continuous data over time. Handles many time points, and multiple lines compare series well up to about four.
Area chart. A line with fill beneath. Use when the volume under the line is meaningful, not merely for visual weight.
Stacked area. Composition changing over time. Readable for a few series; unreadable beyond that, because only the bottom series has a flat baseline.
Column chart over time. Good for discrete periods — quarterly revenue, monthly headcount — where each period is a distinct unit rather than a continuous flow.
Line charts may have a non-zero axis, unlike bars, because position rather than length encodes the value. Label the axis clearly so the scale is not misread.
Distribution
Histogram. How values spread across ranges. Frequently the right chart when someone has reached for a bar chart of individual records.
Box plot. Median, quartiles, and outliers compactly. Powerful and requires an audience that reads them — risky in an investor meeting, fine in an analytical review.
Scatter plot. Individual data points across two dimensions. Shows clustering and outliers that summary statistics hide.
Relationship
Scatter plot. Whether two variables move together. Add a trend line if a correlation is the point, and resist implying causation the data does not support.
Bubble chart. A scatter with a third variable as point size. Size is hard to judge accurately, so use it for a rough third dimension, not a precise one.
Charts to avoid on slides
3D anything. Perspective distorts the values being compared. There is no case where a 3D chart communicates better than its flat equivalent.
Dual-axis charts. Two different scales on one chart, where the crossing point is set by the designer's choice of scale rather than by the data. Easy to mislead with, and easy to mislead yourself. Use two charts side by side.
Radar charts. Almost always unreadable with more than one series, and the area enclosed changes depending on the arbitrary order of the axes.
Word clouds. Size encodes frequency, which is rarely the interesting property, and the layout is decorative.
Making the chart readable on a slide
State the point in the title. Not "Q3 Revenue by Region" but "Revenue growth is concentrated in the Gulf." The title carries the argument; the chart supports it.
Label directly, drop the legend where possible. Placing labels at the end of lines or beside bars removes the back-and-forth between chart and legend.
Limit to one idea. If a chart supports two claims, it is two slides.
Use colour to direct attention. Grey for context, one accent colour for the series that matters. A chart where every series is a different bright colour tells the audience nothing about what to look at.
Axes, units, and time period always labelled. A chart that needs narration fails the moment the deck is forwarded without you.
Cite the source in small text at the bottom. Costs nothing and answers the question before it is asked.
The check before you finalise
Show the slide to someone unfamiliar with the data for five seconds, then take it away and ask what it said.
If they repeat your title sentence, the chart is working. If they describe the shape of the chart without a conclusion, the title is doing too little or the chart is doing too much.
